 Let’s Talk BreyerFest...Micro Runs Within the Special Runs, That Is!

Each year, the Special Runs cause a lot of excitement during BreyerFest planning and definitely during BreyerFest. However, there are times when Breyer likes to add little surprises to the Special Runs. This does not mean that there are huge changes or that they will pull a release. It does mean that sometimes, Breyer likes to add micro runs.

A Micro Run is a run of models that is small, so for this situation, it means that some times Breyer add a few models in the Special Runs that are maybe a different color, glossy, a different mane and tail, and other fun little surprises. No one can really dictate what they will be each year, however we have seen the following: Special Runs that were split glossy and matte (meaning that half of the release was glossy and the other half was matte.), Special Runs that were split with different manes and tails (meaning that a portion of the release had one sort of mane and tail and the other portion had another mane and tail type.) This has happened many times through the years, but it does not happen each year.

Typically, we can say that there will be a matte/glossy release, but until Breyer makes that announcement, it is all happy speculation. 2021 gave us more of the micro runs than we have ever seen before. Each and every Special Run for 2021 had a micro run or even half of the models were different and it all certainly fit within the theme.

What will we see this year? Who knows! But do keep in mind that when you open your Special Runs and you see something slightly different than what has been shown, don’t be alarmed! You could be the recipient of a micro run model and that is special! Remember that prices are determined by the second hand market, if you would be looking to sell it, and we cannot predict what that might be.

*As a side note: If your model is scratched or slightly damaged, Breyer does not accept returns or refunds. They will only exchange if your model is fatally damaged. This is not currently on the Breyer website, but it is how it has been ran for several years now.

I know that I sort of talked in a circle with this one and I am very sorry for that. The breakdown is that Breyer likes to throw in surprises every so often and there could be different colors, finishes, and manes and tails in the Special Run releases so definitely do not be surprised if you get something slightly different than what was showcased on the Breyer website when they were releasing the Special Runs.

 Let’s Talk BreyerFest...An Update To BreyerFest Terms, That Is!

With a BreyerFest Blog post today (4/24/23), Breyer has changed some of the terms regarding Special Run Tickets and what they are called. Previously, these tickets were called Redemption Tickets and the Wild Card Redemption Tickets. Now, these terms have been updated and here they are:

VIP Special Runs- Redemption Tickets

All Access Special Runs (selected using the Special Run Preference List)- Reservation Tickets

All Access Special Runs (tickets that were not using the Special Run Preference List or whose selections were not available)- Wild Card Tickets

In your Ticket Books, they will be labeled as to what they are and if you have used the Special Run Preference List, you will get to know which models were selected for you. The VIP Redemption Tickets will be specially marked VIP and the All Access Reservation Tickets/Wild Card Tickets will be specially marked as well.

So to review:

VIP Ticket Holders have already selected and paid for two Special Runs and two Limited Editions per ticket that they have purchased. You will receive Redemption Cards to pick up those models during BreyerFest at the specially marked tent.

All Access Ticket Holders that have purchased their All Access Tickets before May 14th will be using the Special Run Preference List to rank the Special Runs in the order that they like them and submit that list back to Breyer. Depending on what their place in the “line” is, Breyer will assign the Special Runs to their account and you will see which models that were selected for you when Ticket Books are sent out around June. If your selections were not available, you will be receiving Wild Card Tickets. These Special Run Tickets are labeled as Reservation Tickets and you will need to pick up and pay for these models during BreyerFest at the specially marked tent.

All Access Ticket Holders that purchased their All Access Tickets after May 14th or who missed out on the Special Run Preference List or whose Preference List selections were not available will be receiving Wild Card Tickets. These tickets will allow you to select and pay for two Special Runs per All Access Ticket Purchased. You will be selecting the Special Runs from the limited stock on hand during the event and paying for them there. There could be Special Runs that are sold out, so it is highly recommended to get your All Access Tickets before May 14thand use the Special Run Preference List when it is released.

Nothing has changed with the Online Traditional Access Ticket at this time. The Online Traditional Access Ticket will still utilize the Special Run Preference List with tickets that are purchased on or before May 14th and will notify the Ticket Holders of their selection during BreyerFest. For tickets purchased after May 14th, those Special Runs will be selected at random and assigned to the account to purchase. Reminder: Online Traditional Ticket Holders get one Special Run per ticket purchased and you can purchase as many tickets on your account that you wish. You will be seeing which Special Runs were selected for your account during BreyerFest and paying for them at that time- according to previous BreyerFest information. However, Breyer states that they will cover the exact things that will happen for the Online Traditional Access Tickets soon.

I do my best to provide up to date information about BreyerFest, as soon as it is released. Changes will always be reflected in these posts and there will be a post announcing the update.

BreyerFest can be confusing, but once you figure out what the models are called, what type of model that they are, and how to buy them, you will be set for the rest of the time that you choose to attend BreyerFest! This post will go over each different type of BreyerFest model, tell you how to obtain them, and give you exact instructions on how to purchase them during the event.

Special Runs

Special Runs are available to certain ticket holders only. These ticket holders are the following: The VIP Ticket, the All Access Ticket, and the Online Traditional Access Ticket. No other ticket can purchase these models.

Reminder: There are only four Special Runs that will be available to Online Traditional Ticket Holders. Please keep that in mind when filling out the Special Run Preference List.

How to Buy Special Runs: VIP Tickets will have already paid for their two Special Runs and will only need to trade the Redemption Ticket for their Special Runs.

This is where timing is important on when you purchase your BreyerFest Tickets. There is a cut off date that will allow you to use the Special Run Preference List in order to RANK the Special Runs in the order that you like them. After that cut off date, you will receive a Wild Card Redemption Ticket if you have an All Access Ticket or a randomly selected Special Run if you have an Online Traditional Access Ticket.

During the event, if you have an All Access Ticket, you will take the Redemption Tickets to the specially marked tent and be able to trade that ticket for the actual model and pay for it there. If you have an Online Traditional Access Ticket, you will be moving the model into your cart and then paying for it there, as you would normally pay for any Breyer purchase. Online purchases will have tax and shipping added.

If you have several Redemption Tickets, you can pick them up and purchase them all at the same time.

Limited Editions

Limited Editions are available to ALL Ticket Holders during BreyerFest. As long as you have a BreyerFest Ticket, you will be able to purchase these models during the event.

How to Purchase Limited Editions

If you have a VIP Ticket- you will take the Redemption Tickets for the two Limited Editions that you have already purchased to the VIP Redemption Tent to pick them up. You are able to purchase as many Limited Editions as you want through the BreyerFest Store the rest of the weekend.

I will be splitting this between In Person and Virtual since they are somewhat different. Also, all Ticket Holders are able to purchase Limited Editions online during the event. In fact, there are two Limited Editions that are only able to be purchased online.

Buy Limited Editions In Person

When you buy Limited Editions at BreyerFest, you will be heading into the BreyerFest Store at one of two locations. There is one in the Covered Arena and one behind the Arena in the Annex Ring. Don’t worry, there will be signs to show you which one is which. Both stores will carry the same product. When you go into the store to purchase Limited Editions, you will be able to hand select the models in their boxes from several that are on the table. You can only purchase ONE of a particular model during each trip through the Store. So- if you want two of the Via Lattea model, you will need to make two different trips through the BreyerFest Store. The BreyerFest Store takes cash or card and has several different registers in order to keep the line down. You are able to purchase one of each Limited Edition released at the same time, you only need to leave the store and re-enter if you want to buy duplicates of a Limited Edition.

You cannot bring bags that are larger than a Traditional Size model (this size is also on the discretion of the volunteer that is manning the entrance to the store) and that do not close/zipper into the BreyerFest Store, so anything that you have already purchased will either need to be held by a companion or you will need to use the Bag Check, which is near to the BreyerFest Store Lines. This is a short term service and it gets rather crowded, so definitely be patient.

You can go through the Store as many times as you want during BreyerFest weekend. They do restock at least daily and throughout the day, normally.

Buying Limited Editions Virtually

When you buy Limited Editions during BreyerFest over the website, you are going to be buying the models in almost the same way as mentioned above, except you will be paying for the models online and waiting for them to ship to you. Tax and shipping will be added to your purchase price, so please keep that in mind. You are limited to ONE Limited Edition of a kind per checkout, so again, if you want two of the Via Lattea model, you will need to purchase one completely, return to the Store, and add the second one to your cart and then purchase it. You are able to purchase one of each Limited Edition at one time though, meaning that if you want one of every single Limited Edition that is available during BreyerFest, then you are able to do that in one checkout. You only need to split the order if you want duplicates of one release.

Only models purchased on the Breyer website will be shipped.

Event Models

Event Models are only available through the Tickets purchased for BreyerFest. Each Ticket comes with it’s own Event Model. Here is the breakdown of which Event Model comes with each ticket (this is for one ticket so if you have multiples of a ticket, then you will have multiples of the Event Model that comes with that ticket:

VIP Ticket- 1 Celebration Horse Model and 1 Full Set of Event Stablemates

All Access Ticket- 1 Celebration Horse Model

General Access Ticket- 1 randomly selected Event Stablemate

Online Traditional Access Ticket- 1 Celebration Horse Model

Online Stablemate Access Ticket- 1 randomly selected Event Stablemate

At this time, there is a limited number of Full Sets of Event Stablemates that will be available in person.

You cannot purchase Event Models through Breyer at the event, they only come with Tickets.

This post is to explain how Limited Editions can be bought during BreyerFest, what a Limited Edition is, and where you will find them.

In Person Limited Editions

This year, all of the Limited Editions (from the Portrait models to the Crystal and the rest of those awesome models) will be located in the BreyerFest Stores, while supplies last. There will be two BreyerFest Stores, one in the Covered Arena and one a few yards away in a tent. These BreyerFest Stores will also contain Warehouse Finds, Event Swag (merchandise), and the Full Sets of Event Stablemates (Limited Supply.)

The Online BreyerFest Store

This year, all BreyerFest Ticket Holders (both in person and virtual) will be able to purchase Limited Editions from the BreyerFest Store online. This year, shipping is NOT free. The Breyer website states that there will not be any of the Full Sets of Event Stablemates for purchase at this time.

Shipping

This year, there is no special BreyerFest shipping rates at this time. The BreyerFest Blog states that shipping rates vary by location. Online Traditional and Online Stablemate Ticket Holders will have all of their Event Models and their purchased Limited Edition models sent to their location. I recommend making sure that your address is correct even now because they will be shipped to the address that Breyer has on file, as we saw for BreyerFest 2021. If you are an in person Ticket Holder, you are able to purchase Limited Editions on the website as well and have them shipped to your address.

Buying Limited Edition Models

No matter what type of ticket that you have, you will be able to purchase Limited Edition models. Limited Editions can and do sell out, however as we saw last year, with the raised numbers, these models did not sell out right away. So, I would just keep that as a reminder in the back of your mind. However, when you purchase Limited Editions during the event, no matter if you are purchasing in person or online, you are only able to purchase one Limited Edition of each kind during one transaction. You are more than welcome to make as many transactions as you want/can afford and you can purchase as many Limited Editions as you want/can afford, just keep in mind that you can only purchase one of each kind during one transaction. So you are able to purchase one of each Traditional Sized Limited Edition, one plushie, one Best of BreyerFest Series 4 Sets, one Crystal, and one Freedom/Classic model all in one transaction. However, if you want two of the Crystals, you will need to pay for the one, leave the store (in person), check your back or have a friend hold it, and get back into the BreyerFest Store line to purchase the second one. It works the same way for the virtual BreyerFest Store as well- Place the crystal in your cart, pay for it, then go back and purchase the second one.

If you want two Studebakers (the Online Only Limited Edition), you will need to buy one and pay for it and then buy the second one. But if you want only one Studebaker and one Buggy (the Online Only Limited Edition Stablemate), then you are able to purchase both of them at the same time.

So the visual break down of buy two of the same Limited Editions-

You want 2 Crystals*-

You will pay for one Crystal* and then return to the store for the second Crystal*.

You are allowed to purchase as many Limited Editions as you want, however you can only buy one of one kind at a time.

*The Crystal model is used as an example, however all of the Limited Editions will be working this exact same way.

Virtual BreyerFest Veteran Tip: Buy your model and pay for it when you see it. While you may want to just add to your cart and pay at one time, this is a recipe to maybe see your items be “stolen” out of your cart. I know, shipping is not free or pro-rated this year, as far as we know, but this will help with hoping to not lose items. Of course, it could also be perfectly fine since the numbers have raised and I am just stressing for all of you to get the models that you want.

 These are the most up to date maps that I have found on the Clarion and the Kentucky Horse Park.  I have marked the Kentucky Horse Park with what is important for BreyerFest Attendees and will also be including a blank version for those that wish to print it out.  However, you will have maps available at the Kentucky Horse Park in the Visitor's Center as well as on the Breyer website, if needed.  The Clarion Map is confusing...but the Clarion itself is confusing so I always recommend taking a notepad and pen to write down rooms that you wish to find again!

Each and every year, BreyerFest offers Seminars that are free to every ticket holder that attends BreyerFest. These seminars cover a wide range of topics and are very informative about all things equine and hobby related. They take place in the Visitor’s Center and are air conditioned so they are also a welcome respite from the heat and humidity of BreyerFest. In this location is also where you will find the Equus Film Festival, which is also free to every ticket holder.

 Let’s Talk BreyerFest...Will I Be Lost, That Is?!

At BreyerFest, you will never be alone (unless you want to be) and while you might be momentarily lost, you will never be lost for a whole day. Many people always ask- But what if I don’t know where something is? Where is *insert what you might be looking for here *? And so many other questions about BreyerFest. However, I am totally here to help you!

First, there are signs EVERYWHERE! Yup, even all caps for that one. Breyer does a great job making sure that there is a lot of signage all around the Kentucky Horse Park in the places that matter for BreyerFest. There will be signs that tell you where to park, signs that tell you where to line up for entry into BreyerFest (make sure to read them carefully because there is typically two different lines- BreyerFest Store and General Admission), signs to show you where the BreyerFest Store Line starts, signs to tell you where to pick up the Special Runs, and so many more signs that I might run out of room before I finish writing about it all.

However, there are places that might not have signs. These places might include the Seminars, which are located at the Visitor’s Center, and the Workshops and Model Horse Shows, which are located at the Altech Arena. But, rest assured, that you will always be pointed in the right direction, if you need to stop and ask for directions or even ask where to find the restrooms.

Second, BreyerFest attendees are some of the nicest people that I have ever met! I have anxiety and I will always fully admit it. However, when it comes to BreyerFest, I am actually more at ease than I am at my own local festival where I know about half of the attendees. Why is that? I have only had a few bad encounters and even those can be explained- overheated or tired or hangry. If you ever feel lost, please never hesitate to ask the person next to you for a bit of help. You never know who you will meet or what you will learn!

Third, Breyer has some pretty nice BreyerFest Volunteers. If they don’t know the answer, they will find someone who does know the answer. Again, never hesitate to ask.

And last, I am always around to help out and answer questions during the event. I definitely try to make myself noticeable by wearing horse ears and a horse tail, but I also check my FB as often as the spotty internet at the Kentucky Horse Park will allow. You are always welcome to pop up next to the human..umm..pony and ask your question. I am always willing to help out a fellow BreyerFest attendee! And if you need someone to sit with for a bit or to go shopping with, I am there as well. I might be a bad influence because I will tell you to buy the pony, but I am definitely ok company. I even carry about a small notebook that has most of the RTB information in it, like workshop times and locations and so much more!

Many other people that attend BreyerFest are like me as well. We will definitely be there to stand with you, find what you are looking for, and so much more. I attend BreyerFest alone, so I know what it is like to want to know that someone is there for you, even if you just need to talk about how crazy overwhelming it can be. And for a final piece of BreyerFest Advice for this post: Never hesitate to talk to the person next to you in line. I promise that most of the hobbyists do not bite, but we might talk your arm off! You really will never know what you might learn along the way or who you might meet!

BreyerFest Shuttle Schedule (copied from the Breyer website):

Kentucky Horse Park Loops:

Red Loop- Perimeter of BreyerFest; runs every fifteen minutes during BreyerFest Hours

Blue Loop- Altech Arena to the Rolex Gate/Ticket Booth- no other stops; runs every 15 minutes during BreyerFest Hours

Hotel Loops:

Green Loop- Clarion to the Kentucky Horse Park and Back; runs every thirty minutes- Thursday through Saturday from 5 PM EDT to 11:30 PM EDT.

Yellow Loop- Hotels to the Clarion and back; runs every thirty minutes. Hotels included: Candlewood, Embassy, Mainstay, and the Clarion- Thursday through Saturday 5 PM EDT to 11:30 PM EDT

Personally, I would use the shuttles as much as possible, especially when heading to the Clarion. While I was told that there is more parking for this year, it is always best to leave the majority of the parking spaces for those that are staying at the Clarion. Outside of that, the shuttles certainly cut down on the amount of walking when needing to head back to the car during BreyerFest, especially if you parked a bit away from the Rolex Gate. Each Shuttle Stop will be marked with a sign and a flag so that you know what it is and where it is headed.

 Let’s Talk BreyerFest...Special Run Questions Answered, That Is!

Let’s face it, when it comes to BreyerFest, there is a lot of talk about the Special Runs and there is a lot of confusion. Which tickets can buy them? How do you buy them? What exactly is going on? The questions pop up and while I do my best to answer them all, I am sure that you still have some questions. In 2020, Breyer changed the way that Special Runs were purchased during BreyerFest. This happened because of the pandemic and all of the changes that it brought. 2021 saw another change in how the Special Runs were purchased as that was another virtual only year. 2022 brought us a similar way to purchase Special Runs, using the same protocol as 2021 and changing it up some. And 2023 has brought us another somewhat different way to purchase the Special Runs. However, despite all of the craziness and the changes, it really is not that hard to buy the Special Runs. It really takes a lot more to explain it all than it does to actually buy them, however the explanation causes a lot of questions! My goal is to be able to answer all of your Special Run questions that you might have, in addition to the other posts that I have made that detail exactly how the Special Run process will work.

*Which Tickets can purchase the Special Runs? The VIP, the All Access, and the Online Traditional Access Tickets are the ONLY tickets that can purchase the Special Runs.

*How many Special Runs can I purchase per ticket? With the VIP Ticket, you will have selected and paid for two Special Runs when you purchased your VIP Ticket. With the All Access Ticket, you will be able to purchase two Special Runs per ticket that you have purchased. With the Online Traditional Access Ticket, you will be able to purchase one Special Run per ticket that you have purchased.

*When is the cut off date to purchase Tickets to use the Special Run Preference list? May 14th is the cut off date to purchase All Access and Online Traditional Access tickets if you are looking to use the Special Run Preference List. Tickets purchased after this time frame will receive Wild Card Redemption Tickets for the All Access Tickets and a Randomly Selected Special Run for the Online Traditional Access Tickets.

*I have the VIP Ticket, is there anything else that I need to do? Not at this time. When the Ticket Books come in, you will see that you have Redemption Tickets for the Special Runs that you selected and paid for when you purchased your Ticket. During BreyerFest, you will take those Redemption Tickets to the VIP Tent and trade them in for the Special Runs that you purchased. After this section, I will no longer be talking about VIP Tickets as you have already completely everything for your Special Runs.

*How many All Access or Online Traditional Access Tickets can I purchase per account? As many as you want. You do not need to make separate accounts to purchase tickets unless you have someone else that will be viewing the Virtual content with you and wants to have their own device. Breyer states that you can purchase up to six of these tickets per transaction, but there are no limits on how many transactions that you make. If you want ten All Access or Online Traditional Tickets, then by all means buy ten of them all on the same account, if you want.

*Do I need to pay for my Special Runs when I buy my tickets? No. You will not be paying for your Special Runs until BreyerFest.

*When I purchased my ticket, there was no spot to select my Special Runs. What is going on? That is a perk for the VIP Tickets only. For the All Access and the Online Traditional Access Ticket, you will not be selecting your Special Runs at all. Rather, you will be using the Special Run Preference List that will be emailed to the email address on the account that purchased your BreyerFest Tickets. On that list, you will rank the Special Runs in the order that you like them.

*When I rank my Special Runs, am I guaranteed to get my picks? Not really. There are no guarantees in BreyerFest at all. However, if you have a bit of luck on your side, you will likely get the models that are closest to the top of the list. Breyer has never released their algorithm on how these models are actually selected for the accounts and I doubt that they ever will so we are left to guessing games. My best advice: Fill out the list in the order that you like them. If you do not particularly like a model, place it near the bottom. If you get a model that you do not like, you can always sell it or trade it during or after BreyerFest. Don’t be fooled into using the No Other Preference slot unless you really, really do not want any other models- there is a slight possibility that you might not get a model by doing that- This was relayed to me last year as it happened.

*How should I fill out my list? That is only a question that you can answer. Only you know which models that you want, which ones that you will tolerate, and which ones you would sell immediately. No one else can tell you that information. Also, we really do not know the second hand values of these models at this time. The second hand market is dictated by the buyers and right now, that information is skewed and completely inaccurate.

*What happens if I do not fill out the Special Run Preference List? You will still get a Special Run. If you are an All Access Ticket Holder, you will get two Wild Card Redemption Tickets that allow you to purchase from the Special Runs that are remaining in stock at BreyerFest. If you are an Online Traditional Access Ticket Holder, you will have Special Runs selected for your account- remember that you get one Special Run per ticket on your account.

*What happens if I fill out the list and I still get the Wild Card Redemption Ticket or the randomly selected model? That simply means that Breyer did not have your top picks when your place in their imaginary line came up. It is nothing drastic, just a small surprise along the way. Many in person Ticket Holders are actually going to be searching for those Wild Card Redemption Tickets (as evidenced last year).

*I am an Online Traditional Ticket Holder and I do not like the randomly selected Special Runs that were selected for me and I miss out on the Special Run Preference List, now what? Well, you do not have to purchase those Special Runs. However, you cannot trade them for other models with Breyer. It is best to purchase them, receive them, and then sell or trade them after the event. However, everything is always up to you.

*Do I have to buy the Special Runs? No, however they will bring in extra income, if you are looking for that. Selling your Special Runs is a great way to earn back the money that you spent during BreyerFest or when you need extra money.

*Is the Surprise Special Run an extra Special Run that I can purchase? No the Surprise Special Run is still another Special Run, it just is a hidden mold and colorway until the actual event. There can be up to five different colorways on that model and have varying finishes of matte and glossy. A colorway is the color of the model. If you want the Surprise Special Run, then you will need to place it at the top of your ranking.

*I want two of the same Special Run, but I only have one All Access Ticket, can I do that? No, you will need to rank the Special Runs and you will not be able to purchase two of the same Special Run unless you have more than one ticket. So if you want two of the Surprise Special Runs, make sure that you purchase two All Access Tickets.

*Exactly how do I fill out the Special Run Preference List? Special Run Preference List:

This list allows you to rank the Special Runs in the order that you like them and then send that list back to Breyer to let them know how you would select them. This list does not guarantee that you will receive those models in that order by any means. It is just a list to tell Breyer how you would rank and purchase these models. After May 14th, you will receive an email with a link that will take you to a page on the Breyer website that will list all of the Special Runs and their prices available to you (in person has access to all of them and Online Traditional Access have access to only four). You will scroll down and see that you have two choices- a Master List or an Individual List.

The Master List allows you to rank the Special Runs for all of the tickets on your account in one place. This list is great to use if you are looking to not get as many duplicates. You will see as many number 1s through number 9s (or 4s for the online traditional access ticket) for however many tickets that you have on your account. No one is able to tell you how you want to rank the Special Runs and no one can predict exactly which ones will cost more, if you are looking to resell. Fill out the list in the ranking order that you want and make sure to submit the List. Breyer will accept the last list submitted so you are able to change it many times. You will see the option “No Other Options” or something like that and people will tell you to use that if you do not want any other models, but please use this option with caution- You could NOT receive a model!

The Individual List allows you to make a separate list for each ticket on your account. This list is great to use if you want greater control over the models that you want to receive and do not mind duplicates. You will be filling out a list for each ticket so you are able to change the rankings for each list. No one is able to tell you how you want to rank the models and no one can predict which ones will cost more to resell. Rank the Special Runs to your liking! You are able to submit the lists as many times as you want, Breyer will accept the last list submitted. You will see the option “No Other Options” or something like that and people will tell you to use that if you do not want any other models, but please use this option with caution- You could NOT receive a model!

**Trust me when I say that it is a lot more confusing to write about than it is to actually see it. When the time comes for you to fill out your list, you will be like OMG, I so totally have this!**

*Can I put the same model in for all of my slots? Not really. I mean, physically you were able to do that last year. However, it really does not help you out, especially if Breyer is “sold out” of your model at the time of your place in their imaginary line, so to speak. The best option is to rank all of the available Special Runs in the order that you like them and then get more during the event by buying, selling, and trading on the second hand market.

*When exactly will I be paying for the Special Runs? During BreyerFest in July. Only the VIP Ticket had the option to select and pay for the Special Runs before the event.

*How will I be buying my Special Runs? If you are an All Access Ticket Holder, you will get Redemption Tickets in your Ticket Book. You will take those Redemption Tickets to the Special Run Tent Line and trade them in for the Special Runs that are listed on that Redemption Ticket. If it is a Wild Card Redemption Ticket, then you will select the Special Run that you wish to purchase from what they have on hand. You will then take those Special Runs to the cash register and pay for them using cash or card, checks are not accepted. If you are an Online Traditional Access Ticket Holder, you will find out which Special Run was selected for your account (remember it is limited to one per ticket on your account) and you will then move the Special Run into your cart and pay for it as you normally pay for Breyer merchandise through the Breyer website. You will be paying for taxes and shipping, so please keep that in mind when you see the total as it will be more than the price currently listed. At this time, there has been no word on shipping from BreyerFest and if they will have discounts or consolidated shipping. If that changes, there will be a post here in the group.

I am sure that I likely missed something, however these were all of the questions that I could find regarding the Special Runs all through the FB Land. There are several other posts about the Special Run Preference List in the group itself, so please remember to check them out as well.  Let’s Talk BreyerFest...The Room Sales and More, That Is!

The Clarion Room Sales draw a lot of interest each year and each year, more people are confused about what really goes on there. While I have some other posts about the Room Sales here in the group, I hope that this one will answer all of your questions that you might have.

What Are The Room Sales?

The Room Sales happen during BreyerFest when many hobbyists set up items to sell in their hotel room. There is not set days, no set hours, and these hobbyists just announce that they are open by having an open door or they make a post on FB. You will also see signs all around the Clarion that advertise what certain rooms have, what they are looking to obtain, and more. You really never know what you will see on those signs. The Room Sales happen at more than the Clarion, however the Clarion is the most popular site of them at this time.

When Are The Room Sales?

The Room Sales happen during BreyerFest, however they can start as early as Tuesday of that week and run as late as Tuesday of the following week. It all really depends on the individual person who is selling from their room. During BreyerFest Weekend (Thursday through Sunday), you can expect the majority of rooms to be open from around 4 PM EDT to however late they keep the doors open. There are no set time frames, no set hours, just whenever the person selling opens their doors.

When Does This Open and What Are The Hours?

There are no actual hours associated with the Room Sales. The only events that happen at the Clarion that have time frames are the Breyer affiliated events, such as the Swap Meet and the Artisan’s Gallery. Outside of things like that, the hours are set by those in the rooms. BreyerFest is technically a three day event, however the Thursday before BreyerFest is when the majority of the Rooms open up for business and see a lot of sales. There are no set hours, just be mindful of the hotel Quiet Hours after 11 PM EDT and very early in the morning. Also, if a door is not open, then that room is not open for business. Many will have their own hours set on a flier that is all around the hotel. Definitely check out those fliers!

What Can I Find There?

You will be able to find nearly anything and everything that is in the model horse hobby. You might even find real horse tack. You really never know what you will find there. Many sellers will post on FB what they have to offer or there will be fliers all around the hotel that states some things that they offer. My advice: Make a list before the event of what you are looking to find and go from there. You will find things that you did not even know that you were looking for!

What Forms of Payment Are Taken?

Payment typically is something that is talked often about within the hobby. However, at the Clarion, know that Cash is King! What does that mean? That means that if you have cash, you will be able to buy anything there, you might be able to get a small discount over having to use another payment form, and you know that no one is going to say eww, I don’t want cash. However, if you do not have cash on you or the ATM at the Clarion is empty (it will be, there is no use checking, LOL!), there are some sellers that do accept cards and PayPal or other type of virtual payments. Some sellers will have signs that say what they accept, however if they do not, you can always ask!

But where are the ATMs? Since Lexington is a large city, there are ATMs everywhere. There are some gas stations close to the Clarion and there are several restaurants that might have ATMs in them. Down the road a bit, there is a Walmart and a few other larger stores and restaurants as well as banks. Be aware though- While the Clarion and the Kentucky Horse Park are in a relatively decent area, Lexington does have a semi-high crime rate (about the same as any other large metropolis) and you are safe if you remember to watch your surroundings.

Where Do I Park?

The Clarion has a horrible parking situation! The parking lot is small and is best reserved for those that are actually staying at the hotel. In fact, please make sure that you leave the close and majority of the spaces for those that are staying at the hotel. Last year, there was a gravel parking lot off to the side and you were able to park there. It really is best though to use the Shuttles from Breyer or find rides from other hobbyists that might be heading your way. The Shuttle Schedule will have its own post so that you can see exactly where it is heading, however it does run from the Clarion to the Kentucky Horse Park on Thursday through Saturday for those that want to attend the Clarion.

Does Breyer Have Anything There?

Yes! This is where Will Call will be on Thursday before BreyerFest. This is where the Swap Meet happens and where the Artisan’s Gallery happens. It is also the location of the Resin Renaissance. The Artisan’s Gallery is where you will find the previews of the Special Runs (not the Surprise Special Run), the Limited Editions, and other Club models that are released or have released through the year. You will also find the finalists for the Best Customs Contest and the winners of that will be announced on Saturday evening right before the close of the Artisan’s Gallery. The Swap Meet happens on Thursday and Friday and it will be crowded for that! It is a highly anticipated event so if you want to attend, make sure to get there before it closes. There will be a complete schedule posted closer to the event.

I Want To Sell During The Room Sales!

If you have a room at a local hotel and you want to sell out of it, here are some things that will make you a bit more successful- Make sure that you advertise on FB or Discord where you are staying, your room number, and your hours if you want to set them. Make sure that you bring some shelves to showcase your wares, some extra lights to show them off so that prospective buyers can see any and all flaws and the true colors. Make sure that you bring some of the blue painter’s tape to hang up your fliers- the blue does not affect already existing paint, I am told. Have a set list of what you will take in trade. Know what forms of payment that you will accept. Go into this with the thought that you might not sell anything, but stay hopeful that you will sell everything.

Will It Be Crowded?

Yes. There is no other way to say this- it will be beyond crowded and you will be jostled about, miss rooms, etc. My advice- be patient, wait, and you will get to see what you want. I typically show up early on Thursday and explore before the majority of the rooms open their doors and try to make it through the whole hotel. It is built like a maze and BreyerFest veterans will tell you that it is hard to even get your bearings. Take a notebook and write down room numbers that you want to come back to!

Is there Food?

Yes, the Clarion has a restaurant and a full bar, in case that you get hungry and thirsty. There are also restrooms.

Will I Be Able To See It All?

That is all up to you! Do you wish to do that? It can be done, although I have never done it. I end up stopping and talking to people and running into hobby friends that I only see once a year so I never get very far! However, there are maps at the front desk and here on the group that will help you navigate the maze that is the Clarion, if you want to attempt to see it all. I have never actually used a map and tend to just wander down this hallway and let’s see where that goes.

What Other Hotels Offer Room Sales?

Technically there are none others that are set up to do this on the scale that the Clarion is, to my knowledge. However, I do know that the Embassy Suites have people that sell out of their rooms, the Fairfield has some sellers and even promoted it one year, and other hotels in the area. Make sure to keep your eyes on the sale and trade FB groups as people will start posting closer to the event where and what they will be selling.

Do I Have To Attend Room Sales?

No, you do not have to go. However, many hobbyists will tell you that these Room Sales are a lot more varied and exciting than the Vendor Marketplace at BreyerFest itself. Personally, I say to check out the Vendor Marketplace at BreyerFest and do some shopping there, however if you cannot find something on your wish list, you might find it at the Room Sales! Just make sure to stop in at least once during your BreyerFest Adventure!

Do I Need A Ticket?

No, you do not need a ticket to shop at the Room Sales, the Swap Meet, or the Artisan’s Gallery. If you are wanting to sell at the Swap Meet and the Artisan’s Gallery, you do need to apply through Breyer though.

How Much Money Should I Bring?

This can only be determined by you! I have done BreyerFest on $25 and $2000 in order to test things in the beginning, however it all comes down to what you want, what you are looking to buy, and personal taste. I definitely recommend not telling anyone exactly how much money that you are bringing though!

Other Tidbits

*Bring your own packing materials! These are always in short supply from sellers.

*Make a list of what models that you are looking for as a starting point.

*Know your limits- Make sure to save money for food and the return trip home.

*UPS will be nearby and there is a USPS Hub near the hotel.

*Bring a notebook and pen and write down the room numbers of those that you want to return to.

*If you want to stay at the Clarion, you need to register when they open up registrations after BreyerFest.

*Please be mindful of your presence! If you break it, you buy it! Backpacks are best carried in your hands when entering a room and set down at your feet when looking and or purchasing models. Wheeled Things are best left in the hallway.

*It is hot and there are a ton of people, be mindful of your own tolerance for those things. You can always rest in the bar area or find some shade outside.

*Definitely take some time to talk to your fellow hobby members! They love to talk! You might learn something awesome! I learn something new each year and I barely make it out of the 500s due to certain friends!
